Canada-China Enterprise Overseas Service Centre
Privacy Policy
The Canada-China Enterprise Overseas Service Centre ("CCEOSC", "we" or "us"), a registered not-for-profit organization, respects your privacy. This Privacy Policy explains what personal information we collect through our websites (cceosc.org and torontotradeshow.ca), how we use and protect it, and the rights you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable laws.
1. Information we collect
We collect only the information we need to provide our services, mainly:
- Contact form: name, email address, phone number (optional), company or organization (optional), type of enquiry and your message.
- Booth bookings and exhibitor registration: company name, contact name, title, email address, phone number, address, invoicing details and order details. Online payments are processed by our payment provider; we do not store your full card number.
- Visitor registration: name, email address, phone number (optional) and the sessions you register for.
- Email subscriptions: your email address and the types of email you have agreed to receive.
- Website AI assistant: the questions you type into the AI assistant and its answers, with the page and language. Conversations are sent to the third-party AI provider Anthropic to generate answers, are stored in our own database for up to 90 days, and are not shared with third parties for marketing. AI answers are for reference only.
- Profiles (for directors, advisors, committee members and similar): the name, title, biography and photo you submit, and a phone number and email address used for internal contact only.
- Technical information: to keep the website running and secure, our servers automatically record basic logs such as access time, browser type and IP address. The website uses essential functional cookies (for example, to remember your language and site, and to keep staff signed in). We do not use advertising cookies.
2. How we use your information
We use this information to:
- respond to your enquiries and provide the services you ask for;
- process booth bookings, exhibitor and visitor registrations and payments, and send confirmations, invoices and event notices;
- send you event news and newsletters, where you have agreed to receive them;
- publish the public part of a profile (name, title, biography, photo) on the website, where the person has agreed;
- keep the website secure, prevent spam and abuse, and improve the website.
We do not sell your personal information.
3. Consent and commercial email (CASL)
We explain why we collect information when we collect it, and use it only as you have agreed. We send commercial email only to people who have expressly agreed to receive it (consent boxes are never pre-checked). Every commercial email includes a way to unsubscribe, and you can unsubscribe at any time; this does not affect the notices we need to send to complete your order or enquiry.
4. Service providers
We use the following service providers to run this website. They process information only as needed to provide their services:
- Supabase: database and file storage;
- Vercel: website hosting;
- Stripe: online payment processing;
- Brevo: confirmation emails and newsletters;

- Anthropic: answers of the website AI assistant;
- YouTube: embedded videos (loaded only when you click play).
Some of these providers may store or process information outside Canada, where it is subject to the laws of those countries.
5. Storage and retention
We take reasonable technical and organizational measures to protect your personal information, and only staff who need it for their work can access it. We keep personal information only as long as needed for the purposes for which it was collected, or as required by law, and then delete or anonymize it securely.
6. Your rights
You may ask to see the personal information we hold about you, ask us to correct information that is inaccurate, or withdraw consent you have given (which may affect some services we can provide). To do so, or if you have a question or complaint about how we handle personal information, please contact us.
